This Privacy Policy describes how SchoolTx, Inc. (“SchoolTx” or “we” or “us” or “our”) uses, collects, and stores “Personal Information” through use of our school practice management software and through use of our websites and web-based resources. We refer to our platform, websites, and web-based resources as the “Services”.

In this Policy, we use the word “Customer” to refer to anyone who has subscribed to and paid for use of our school practice management software (for example, a therapy practice owner, school administrator, or an individual provider). We use the word “you” to refer to any individual user of our Services, such as a provider or staff member of a Customer, or individual browsing or using our websites and web-based resources.

Before using the Services or otherwise providing Personal Information to us, please review this Privacy Policy carefully.

Why SchoolTx Collects Personal Information

SchoolTx collects Personal Information in order to provide our Services to our Customers and their users, to learn about use of our Services (for improvement, accessibility, and relevant content), and to provide you with information about our Services, including features and promotions. Personal Information is information that identifies, relates to, describes, is capable of being associated with, or could reasonably be linked, directly or indirectly, with you or your household, such as your name, email address, IP address, and broader categories of information such as your professional or educational information, commercial information and internet activity. We collect only the minimum amount of Personal Information needed for these purposes. We do not sell or trade Personal Information, and we will only share your Personal Information with third parties in the ways that are described in this Privacy Policy.

Information SchoolTx Collects from You

Contact Information. We collect your contact information, such as your name, email address, and organization, when you fill out our online forms or set up your user account for our Services. We use your contact information to activate your user account, give you access to the Services, and to send you notices about your user account. We may also use your contact information for marketing purposes, such as promotional emails, direct mail, and sales contacts.

Billing Information. When a Customer subscribes to our Services, we also collect credit card information to process payment. Credit card information is provided directly to our payment processor and is processed in a PCI-compliant manner. We do not keep your credit card information. SchoolTx stores our payment processor’s Customer identification number and the Customer’s name.

Log and Device Information. When you access and browse our Services, we collect information about how you are accessing our Services, such as your internet or mobile network connection, your browser, or the type of mobile device you are using (if applicable). We use this log and device information to identify how our Services are being accessed and used so we can optimize them for the types of connections, browsers, and devices being used. We also use this information for HIPAA log purposes. This information is not used to market or send promotions at an individual user level.

How SchoolTx Uses the Information Collected from You

Suppliers and Service Providers. In order to operate our business and provide the Services to our Customers and their users, we may need to share a limited amount of Personal Information, including data, with our third-party suppliers and service providers. Before sharing Personal Information, we ensure that the third parties receiving the Personal Information have provided appropriate safeguards, and that privacy rights are protected and preserved. Some of the areas where we use third-party suppliers and service providers include:

  • Data centers where all platform data is stored

  • Customer support services to help us collect feedback and manage our support services

  • Communication services to send out email and SMS notices or reminders

  • Payment processors

In addition to the purposes for collection described above, we also collect your information for the following general purposes:

  • To maintain and service your Account, including to fulfill your orders, to confirm your orders, to send you requested product and Service information, and to send you product and Service updates;

  • To respond to your customer service requests and address your questions and concerns;

  • To send you newsletters and marketing communications;

  • To administer and improve our Services and marketing efforts, including measuring the effectiveness of the websites, diagnosing problems with our servers, and analyzing traffic;

  • To detect security incidents, to protect against malicious, deceptive, fraudulent or illegal activity, and to comply with our policies and procedures;

  • To comply with our legal, regulatory and risk management obligations, including establishing, exercising and/or defending legal claims.

  • If SchoolTx is involved in a bankruptcy, merger, acquisition, reorganization, or sale of all or a portion of its assets, we may share or transfer your Personal Information as part of any such transaction.

  • From time to time, we may be required to provide Personal Information to a third party in order to comply with a subpoena, court order, government investigation, or similar legal process.

  • We may also share your Personal Information to third parties, such as law enforcement agencies, when we, in good faith, believe that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

  • Publicly, but only with your permission: We may share your Personal Information publicly with your permission. For example, with your permission, we may publicly post your photograph, your name, professional titles, and comments on the “Reviews” section of our websites.

    Access and Choice

    Account Deletion: SchoolTx Customers may cancel and delete their Accounts at any time. Before canceling and deleting your account, please export your data using a private internet connection that is password protected. SchoolTx is not responsible for any lost or stolen data resulting from a Customer’s lack of diligence or failure to follow reasonable security protocols during or after the data export process. Please note, if you do not export your data before deleting your account, there will be no way to retrieve the data.

    After you have exported your data and stored it in a secure location, you may proceed to canceling and deleting your account by emailing us at support@SchoolTx.com or completing our support request form

    If you would like a copy of our HIPAA Business Associate Agreement, please contact us at support@schooltx.com. Please understand that we will not be able to provide you certain Services if you cancel and delete your account.

    Retention and Security

    We will retain your Personal Information for as long as your Account is active, as needed to provide you Services, and as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

    We follow generally accepted standards to protect the Personal Information submitted to us, both during transmission and once we receive it. For example, when you enter sensitive information (such as your login credentials), we encrypt the transmission of that information using industry-standard security controls such as encrypting data that is transmitted over the Internet and encrypting all data stored in databases. However, no method of transmission over the Internet, or method of electronic storage, is 100% secure. Therefore, we cannot guarantee its absolute security. You share responsibility for protection of your personal information by setting a strong password and by keeping your username and password confidential.

    We protect your personal information, including data stored in our platform, by:

  • Using industry-standard security controls to ensure information is transmitted over a secured connection between your browser and our web server.

  • Using state-of-the-art data centers with appropriate security and compliance certifications that are HIPAA compliant.

  • Having our personnel sign strict confidentiality agreements to ensure they understand the confidential nature of the data we process, and only accessing your account when you request assistance from us.

  • Requiring password protection of your user account with a password set by you. We cannot access or identify your password. The only way to recover a password is for you to initiate a reset via the email address or mobile phone number you use for the Services.


    Cookies and Tracking Information

    Our website uses cookies. Cookies are small data files that are downloaded to your computer or device by a website. Your web browser lets you manage cookies through its “settings” or “options” menus. You can change your browser settings to display a warning before accepting a cookie or to refuse all cookies. You can also delete cookies at any time; however, please note that certain cookies must remain in order to use certain portions of the Services. 

    We use cookies::

    • To learn about use of our websites, such as user traffic patterns and the effectiveness of our navigational structure;

    • To allow you to login to secure areas of our Services;

    • To store your login credentials for easy access to our Services.

  • Additional Information

    Information for Visitors from Outside of the United States: We are committed to complying with this Privacy Policy and the data protection laws that apply to our collection and use of your Personal Information. We are located in the United States, where the laws may be different and, in some cases, less protective than the laws of other countries. By providing us with your Personal Information and using the Services, you acknowledge that your Personal Information will be transferred to and processed in the United States and other countries where we and our vendors operate.

    Social Media Widgets: Our Services may include social media features, such as the Facebook Like button, and widgets, such as the “Share this” button, or interactive mini-programs that run on our websites (collectively referred to as “Features”). These Features may collect your IP address, which page you are visiting, and may set a cookie to enable the Feature to function properly. The Features are either hosted by a third party or hosted directly on our Services. Your interactions with these Features on a third-party site are governed by the privacy policy of the company providing it.

    Links to Other Sites: The Services may contain links to other sites that are not owned or controlled by SchoolTx. Please be aware that we are not responsible for the privacy practices of such other sites. We encourage you to be aware when you leave our site and to read the privacy statements of each and every website that collects Personal Information. This Privacy Policy applies only to information collected by our Services

    Children’s Privacy: Our Services are not directed to, and we do not knowingly collect any Personal Information from children under 13.

    Modifications to this Privacy Policy

    The Company may change this Privacy Policy at any time, without prior notice to you, by posting a new version on this page or on a successor page. The new version will become effective on the date its posted, which will be listed at the top of the page as the new Effective Date. You may access this Privacy Policy at any time by accessing the Privacy Policy link on the home page. Your continued use of our Services is your acceptance of the new terms of the Privacy Policy.
